Sub Analysis - Setup

The Sub Analysis feature provides a means for you to split the stock item between several warehouse locations or by colour or other attribute.

The Sub Analysis feature provides a means for holding variations for a stock item. This may be a single variable, such as location, colour or size, or a combination of variables, for instance, the same item in different colours within different sizes held at different locations.

Each Sub Analysis can be stored with detailed information such as notes, specific Analysis codes for each sub-analysed item, and quantity of stock, and the Landed Cost.

Setup

Before Sub Analysis can be used, you must select how you are going to create the Sub Analysis Codes. This can be done manually or you can have the system create concatenated codes automatically.

Individual Stock Records may be analysed under up to 6 headings, but you do not have to set up or use all the 6 elements for all Stock items. For those you wish to use, you will need to define the length and type of entry for the element. Any elements which have a length of zero will not be used.

You are also able to define meaningful labels for your Sub Analysis elements. For example the default field names (labels), User Sort 1 - 6, could be changed to Colour, Size and Warehouse Code. The name ‘Sub Analysis’ can also be changed to something more appropriate such as Catalogue ID.

For details of how to customise the field names, see Sub Analysis Field Names.

The customised field names (labels) will then appear on this Sub Analysis tab card as well as on the Sub Analysis window in the Stock record. They can be changed at any time.

In Sales Orders Options - Transactions

When entering Sales Orders, you can select to only display Sub Analysis items when Physical Stock is available.

Before Sub Analysis can be used, the Stock item involved must be flagged as a Sub Analysis Type item.

This is done after the Stock record has been created, but before it has been used. Once that Stock item has been used its Type cannot be changed.

To flag a Stock item as a Sub Analysis item:

  1. Insert the record details in the usual way, and click on OK to save the record.

  2. Then still on the same Stock item, click on the Type menu and select Sub Analysis.

You can flag any stock item as a Sub Analysis type as long as it has not already been used.

A legend Sub Analysis will then be added to the Stock record window.

If you make a mistake and you have flagged the wrong stock item, just pull down the Type menu and click on Sub Analysis again. This will remove the flag.

You can then enter the Sub Analysis details by clicking on the Sub Analysis function on the Stock Record toolbar. See the Sub Analysis window.

On the Sub Analysis window you can flag one of the Sub Analysis records as Default Outbound and one as Default Inbound. When this is done, the transaction options for SOP and POP can be set to automatically populate the Sub Analysis field when the Stock record is selected.

Workflow Forms

Any Workflow Forms on the Record Window are displayed in a list pane at the bottom of the record window. If no WFF is attached to the record, the pane is not visible.

In SOP and POP

When selling or buying Sub Analysis Stock items, these Transaction Options are relevant:

Always Select Default Sub Analysis

This will automatically select the Sub Analysis that is flagged as the Default Outbound for SOP or Default Inbound for POP.

Allow Sub Analysis field to be left empty

If you do not know which Sub Analysis will be used, this option will enable you to leave the Sub Analysis blank at this point. This will cause the transaction to be batched. When you do know which Sub Analysis is to be used, you can Edit the batched transaction and add the Sub Analysis to each relevant detail line.

Within the Transaction Detail line:

If you select a Sub Analysis Stock item, when you tab out of the Stock Code field, another list window will be displayed, listing the available Sub Analysis Codes, so that you can select the one that you wish to use.

Sub Analysis - Languaging

While on the Sub Analysis tab in Stock Options, you can define meaningful labels for the Sub Analysis fields (which are labelled User Sort 1 - 6 by default).

For example the default field names could be changed to Colour, Size and Warehouse Code, as follows.

  • Click on the Info menu on the main toolbar and select Description/Language, then, from the subsidiary menu that appears, Load Current Window. This will load the labels for the Sub Analysis tab card only.

  • Click on Edit and scroll down the list of field names.

  • Select the field name you wish to customise.

  • Type the new label into the field at the bottom of the Language Entry window.

  • Repeat this for each label that you wish to change.

  • When you have finished, click on OK to save your changes.

The customised labels then appear on the Sub Analysis tab as well as on the Sub Analysis window in the Stock record.

These field labels can be changed at any time.
