Order lines with missing Sub Analysis codes can be displayed by selecting the option to include Orders with Sub Analysis Left Empty from the Stock Allocations Selection window.

When the list is displayed:

  • Select the transaction that you wish to allocate by double clicking on it; this will change the flag from NO to YES.

  • The Quantity to Allocate will default to the quantity to deliver for this detail line. Enter the quantity to be allocated or accept the default.

  • Click the Sub Analysis search button. An empty Selected Sub Analysis Codes window will open alongside the Sub Analysis Selection window which will list the codes which have Stock available.

  • Select a Sub Analysis, by double clicking on it, and a Quantity window will be displayed.

Enter the quantity for the selected Sub Analysis code and click OK.

  • The Selected Sub Analysis Codes window will be populated with the Sub Analysis and quantity selected.

  • You will not be able to allocate more than the quantity of stock available or more than the quantity to be allocated.

  • Click the Add icon on the Selected Sub Analysis Codes window to re-open the Sub Analysis Selection window.

  • Continue to select the Sub Analysis Codes you require until the quantity matches the quantity to be allocated.

  • Click OK on the Selected Sub Analysis Codes window to save your selection and return to the Stock Allocations window.

Important note about Analysis code

The analysis code on the transaction will not be changed when the Sub Analysis is selected.

Background The transaction will have been prepared using the Analysis code from the main stock record because no Sub Analysis was selected when it was entered. It could be that your Sub Analysis has a different Analysis code to the main stock record, but this will not be used when the Sub Analysis is selected from the Allocation window.

Reason The reasoning behind this is that you may have produced an Order Confirmation when you entered the transaction. This confirmation will contain the VAT rate from the Analysis code belonging to the main stock record. The Analysis code held against the selected Sub Analysis may have a different VAT rate, so it will not be applied to ensure that the order confirmation remains correct.

If you want to ensure that the Analysis code from the Sub Analysis record is used you should either:

  • Select the Sub Analysis when the transaction is entered, or

  • Edit the transaction from the batch window to add the Sub Analysis and not from the Allocation window.

When editing the transaction from the batch window, the Analysis code will be changed because on saving the changes you will be able to re-print the order confirmation.

Setting the Sub Analysis Defaults

If a Stock item has Sub Analysis records, a default can be set up for Outbound Stock.

If you run an Auto Allocation method and Sub Analysis codes are missing from a transaction, you can select to populate the Sub Analysis field with the Default Outbound Sub Analysis. If there is no default set then the first Sub Analysis will be used instead.

Sub Analysis Defaults are set on the Sub Analysis Code tab card. Only one Sub Analysis can be flagged as Default Outbound and one as Default Inbound. It is not necessary to have a Sub Analysis default set.

Clicking the Sub Analysis function icon on the Stock Record displays the Sub Analysis Window.
