Posting to a Sub Ledger

Essentially the Sub Ledgers feature provides an extra level of analysis for Sales, Purchase and Nominal Ledgers, and for Sales and Purchase Orders. It enables you to flag transactions as 'belonging' to different Sub Ledgers. You do not have to use them, but if you select a Sub Ledger for any Detail line on a Transaction, all Detail lines on that Transaction will use that Sub ledger.

Postings to a Sub Ledger occur in addition to the postings determined by the Analysis Code used for each line; though by default when viewing activity, it is the Sub Ledger posting that is seen, not the ‘Analysis’ posting.

When posting transactions, there is a Sub Ledger button which enables you to select from the Sub Ledgers displayed.

The Transaction is posted to the selected Sub Ledger using the normal Analysis Code, and will use the Invoice, Credit Note, or Voucher number series set up in the Sub Ledger window (above) for that Sub Ledger.

To check that the Transaction has been posted to the Sub Ledger, use the record’s Transaction drill down. Under the Ref. menu,the option Transaction Ref. will show the Sub Ledger Reference instead of the Transaction Ref. if you are using these. Transactional Reports can also be sorted or subtotalled using Sub Ledgers.

Setting Sub ledger defaults

You can set permanent Sub Ledger defaults in Global. A default Sub ledger can be set for each of the Ledgers.

Selecting a Sub Ledger in a Transaction

Clicking on the Sub Ledger button on the Header window displays a window listing the Sub Analysis Codes that have been entered for the Ledger being used.

A double click on any line will select that Sub Ledger entry and return you to the transaction header window. The name of the selected Sub ledger will be displayed in the header window in place of the Sub Ledger legend.
