Updating Landed Costs from Transactions
The Landed Cost Adjustment OUT does not affect the Nominal Ledger. This means that the Weighted value of the stock will not match what has been posted to the Nominal Ledger. Where the Landed Cost Adjustment is making a correction to an overstatement of the Landed Costs, you will have to manually enter an adjustment to the Nominal Ledger.
Landed Cost only Transactions
If you wish, you can enter Price item and Text Transaction Detail lines in the Purchase Ledger, to update the Landed Costs for a Sub Analysis of a Stock record, these must use Purchase Analysis Codes which have been flagged as Update Landed Costs.
You must also have set up the Sub Analysis details in Stock Control, and the Landed Cost details to be used.
You can then enter Invoice Transactions, using these flagged Analysis Codes.
These can then be assigned to Landed Cost Lines using the Landed Cost function described below.
Allocating Transactions to Landed Costs
Once you have entered transactions using an Analysis Code flagged in this way, you can allocate these Transactions to a Sub Analysis Stock item.
To do this, go to Landed Cost.
Selecting the function will display a Transaction Selection window.
This enables you to select Landed Cost Transactions by Analysis Code, Header Ref., Supplier Account, and by Date Range. You can also select Correction transactions only.
When you have made your selection, click on Display, and the Transactions matching your criteria will be listed.
Select the transactions to be allocated either by double-clicking on them, or by using the selection toggle buttons.
When you have finished, click on OK.
The Sub Analysis Selection window will then be displayed.
This enables you to find the Sub Analysis Codes to be updated, by their Stock Code, by Type (Sort Key) and by User Sort 1, 2 or 3. You can also search by Sub Analysis Code and Sub Analysis Sort Key, and by the Sub Analysis element(s), e.g. Colour, Size, Batch, Location, User Sort 5 and Shipment No..
The Landed Cost Line menu button enables you to select which of the selected Landed Cost lines is to be allocated to this Sub Analysis. The line must be set to a Transactional Type on the Sub Analysis record Landed Cost tab card.
Click on Display.
The Sub Analysis for Update window will be displayed.
All Sub Analysis records matching your selection criteria are listed.
Select the items to which you wish to allocate the selected transactions by double-clicking or using the selection toggle buttons.
Click on OK
The Update Landed Cost window will be displayed.
By default, the system splits the transaction value by Number of Sub Analysis Records (e.g. equally between all the selected Sub Analyses).
To select an alternative method, click on the Allocate Landed Cost by ... pull-down menu.
The options on this menu are: Number of Sub Analysis Records; Weighted Quantity; Landed Cost Value and Manual Allocation.
Number of Sub Analysis Records This will apportion the selected transactions equally across all the selected Sub Analyses, putting the amount into the selected Landed Cost line.
Weighted Quantity This will divide the value to be allocated equally between the Sub Analysis records that have been selected, according to how many items are in stock against each record.
Landed Cost Value This will divide the value to be allocated between each Sub Analysis record selected, depending on the value that has been previously allocated; the more that has been allocated before, the more will be allocated this time.
Manual Allocation This allows you to decide how much of the total value of the transaction to allocate to each Sub Analysis record.
Whichever option you choose, you can edit the amount to be allocated by manually typing in the amount you wish to allocate in the field at the bottom of the window.
Fixed Weighted Value - The weighted quantity shown on the update window will be the physical quantity at the time the last Weighted Value Recalculation was carried out. This is the physical quantity that will be used if you allocate the Landed Costs by Weighted Quantity. As the recalculation routine should only be run periodically, you may find that the most appropriate time to update the landed cost is immediately after running the recalculation.
The total allocated amount must match the transaction amount exactly.
Click on OK to complete the allocation process.
You can now go back to your Stock record, select the Sub Analysis function icon, and see that:
The Landed Cost tab card now includes the transaction amount in the relevant Landed Cost line.
The Quantity tab card Physical drill down now includes the Transaction.
When Landed Costs are allocated to Sub Analysis codes, a transaction will be generated which changes the Values on the Landed Cost tab card.
A Movement Transaction (Type L) is written with a zero Quantity, with Landed Costs attached to it.
A Transaction will be written for each Sub Analysis i.e. if the Transactional Landed Cost is spread over 5 Sub Analysis, then there will be 5 Transactions.
