Introduction to Reports
All the information you enter into Access Accounts can be presented in a variety of formats for various purposes. Reports are of vital importance in any accounting activity. Access Accounts enables you to produce almost any kind of report, keeping in mind your needs and your Company's standard accounting procedures. You can also control what information should be printed in your report and the way it should be presented.
Access Accounts provides two types of reports; System Reports (which are simply referred to as Reports) and Access Crystal Reports (or ACR). Almost every report can be printed in either type.
System Reports
Selecting Reports from any of the Records or Transactions menus, or the Print button on other windows, will generally display a window where you can change the title, enhance the basic report, make it more selective, and where relevant, change the sorting and sub-totalling that is applied. You can output the reports to File, Printer or Screen. Majority of the reports can also be faxed or emailed if a proper Fax number or Email address is provided. You can also store a report as an XML file. Some reports, such as the Audit and Not Yet Printed reports are slightly more restricted. To keep it simple, all the reports have very much similar search and selection windows. Using the Simple Search option, you can insert specific search criteria to get the information you are looking for. You can also save this criteria to use it any other time. The Search options (Simple Search, Select Search, Ignore Search) are available for all the System Reports.
Apart from the Core Accounting Reports such as Sales Ledger, Purchase Ledger, Nominal Ledger, Stock Control, CRM, Credit Control, SOP, POP etc, there are other reports like VAT reports, EC reports which enable you to fetch extra information from your database.
Access Crystal Reports
Access Crystal Reports are more printer friendly meaning that they are preformatted and mainly preferred for Auditing or external communications purposes. You can also change the look and feel of Access Crystal Reports if you have Access Crystal Design application. Access Crystal Reports (ACR) can also be output to Screen or Printer. Once you print any ACR, you can export the report in different File formats and save a copy in your machine. All the Search functionality is also available for Crystal Reports. The list of ACRs for any unit can again be grouped by different parameters. You can also build a list of frequently used reports as a list of favourites.
Report Types
Generally reports are classified as Transactional reports and Record reports. Transactional reports include the information about any transactions you have recorded for the Customers or Suppliers or Prospects e.g. Profit and Loss report, Balance sheet report, Overdue Invoices report etc. Records reports mainly produce a list of core records such as Customer list, Aged Debtors, Prospect list etc.
