Exporting EDI Transactions

Please note that existing invoices will report the original VAT values, but no Settlement Discount values. It is up to you to export existing invoices before changing the Settlement Discount method.

According to HMRC rules, VAT on all invoices should be based on the full price. Suppliers must account for VAT on the amount they actually receive, and Customers can recover the amount of VAT that is actually paid. As such, a Credit Note is automatically generated for any Settlement Discount value and allocated to the invoice and payment so that VAT is correctly accounted without the need for manual adjustments. For Sales Ledger invoices and credit notes posted from the Sales Order module, Dimensions can produce an EDI export file.

  • Open the EDI Export selection window from the Reports menu.

  • Click Build to list all the transactions for Customers who have been configured for EDI output.

  • The list will only contain transactions that have not yet been updated as transferred.

  • The list will not contain zero value transactions as these should not be transferred to EDI.

  • The process status of all transactions in the list will be set to NO.

  • Locate the transactions that you wish to process and set the process status to YES by double-clicking the transaction or using the toggle buttons at the top of the column.

  • Output Location - make a note of this. This is the directory location in which the export files will be saved. You can change the location by clicking the folder button and browsing to the required location.

  • HSBC - tick this box if you wish the output to be in HSBC format.

  • When you are ready to process the transactions, click OK.

You will be asked to confirm that you wish to start the EDI transfer. Click Yes to continue, No to cancel.

When the EDI transfer is complete, you will be prompted to update the exported transactions so that they will not appear in the EDI Export window again.

You should check that the EDI files have been produced and are acceptable before selecting Yes to update the transactions.
