Adding Carbon Usage Information to Transactions
You will be required to enter Carbon usage information for all transactions that involve a Nominal Ledger account that is marked as Account for Carbon. You can add one Carbon Transaction per Nominal transaction entry line.
You can enter Carbon usage information from the following transaction entries:
Nominal Ledger: Debit VAT Journals.
Purchase Ledger: Invoices and Credit Notes.
Purchase Order Processing: Process Order Batch, Process Invoices Batch, Process Credit Notes Batch.
Purchase Invoice Register: Enter Details, Match to Purchase Orders
To add Carbon usage to Purchase Order Processing transactions they must be batched and then the Carbon information can be added via the Detail window on the Batch when processing the invoice.
You can also add Carbon usage to posted transactions via the Enquiry windows.
To add Carbon usage information to a live Transaction:
Once you have entered all the information for a transaction involving a Carbon-tracked Nominal Ledger account, the Carbon Transaction window will open for you to enter the Carbon usage details as you tab off the Detail field. The Emission Group and Classification will default to those recorded on the Nominal Ledger record. If only the Emission Group is selected on Nominal Ledger record, then you will be able to select any of the related Classification for that Emission Group but if a specific Classification from an Emission Group is selected, then these values cannot be changed.
Enter the Quantity and select the appropriate Unit of measurement.
Enter a Consumption Date for the usage and select the Year and Period to which the transaction should be posted. You may be limited in your selection by your system settings.
Updating Carbon Usage Information
When you batch your main transaction, the associated Carbon Transaction will also be batched. You can edit this batched carbon transaction from the Post Batch window.
For Purchase Order Processing, when you batch a Purchase Order/Credit Note/Invoice which will be analysed in a Carbon-tracked Nominal Account, you may enter the Carbon information while editing that transaction in the Process Batch window. These Carbon details will not be held in the system if you don't update the invoice for that Purchase Order. The Carbon usage details are only updated at the Update Invoice stage.
