Currency Transfers

Cash Book Currency Transfers enables journals to be posted between Nominal Accounts of different currencies.

Care should be taken because these Journals may prevent the currency version of the Trial Balance from balancing to zero. The ‘Home’ Trial Balance should always balance.

Depending on whether the Working Periods feature is enabled and on your Security Profile permissions, it may be possible for you to continue to post financial changes, for month end procedures, even after the posting period has been advanced; in this situation the Period becomes a drop-down and you can select the appropriate period.

Freeze

As with other Nominal transactions, you are able to select to Freeze a Currency Transfer transaction to prevent others from accessing the transaction while you are dealing with it.

Options

Batch Transaction - This allows you to batch a Currency Transfer and enter a Batch Reference so that you can review and amend the transaction before posting. You cannot freeze while editing a batched transaction. Default is off, but can be defaulted to on in System Security Profiles.

Revaluation Journal - Revaluation Journals, when posted via currency transfers, allows adjustments to be made to Nominal Account balances, where currency exchange differences have occurred. These adjustments will be posted in the Home Currency only. Please also see topics for Bank Revaluation available via Cashbook, and Revalue Debtors and Creditors and Revalue Nominal available via Trading Currency records.

Please note that this option is not remembered, should you close and reopen the Currency Transfer window. This is because entry of a Revaluation Journal is likely to be a one-off event.

  • The currency value on the Detail window is set at 0.00 and cannot be changed.

  • In every other respect, this option operates in exactly the same manner as Currency Nominal Journals.

  • The Transaction User Keys icon on the detail window enables you to add Transaction User Keys to the transaction.

Post Batch

Access to this feature is controlled by your Currency Transfers Security Profile. Post Batch allows you to open the Nominal Ledger Batch directly from the Currency Transfer window.

The "Post Batch" option is enabled when inserting or editing a Currency Transfer. If you select the button with no transaction header or detail values entered, then the Nominal Batch windows open; otherwise, before opening the Nominal Batch windows, you are cautioned and must confirm that any information entered will be lost.

Sub Ledger

You can use the look-up button to select a Sub Ledger when entering a Currency Transfer. For example, when using the InterCompany plug-in, selecting a Sub Ledger allow you to assign the transaction to a specific company.

Voucher Ref.

Enter a unique reference for the journal. If the system option to automatically allocate transaction references has been selected, this field will be populated by the system.

Date

Automatically defaults to Today's system date; but can be overtyped.

Batch Ref.

Only shown when you have selected Options: Batch Transaction. Use of this field is optional, and if used can be alphanumeric up to 10 characters, e.g. ABCDE12345

Current Year

This displays the current Period.

Description

Enter any explanatory text that you may require.

Detail

Debit/Credit

Select from the drop-down as appropriate.

Code/ Categories

If using a Standard (non-ANL) database, you can enter or lookup the Account Code.

If using an Advanced Nominal Ledger (ANL) database, you are able to select relevant Categories as created when you set up your ANL database. The detail window will display up to 4 entry fields with lookups; should your ANL setup contain more than four categories, then the additional categories are available on a pop-up from the tab-off on the fourth field. There is a further pop-up where you can select the Currency for the Nominal Codes for selected categories, for example, to select when your Currency Transfer is from a Currency account to your Home account.

Enter the value of the transfer.

Date

Brought forward from the Header. Can be overtyped if necessary.

Ref.

Enter a reference as applicable.

Notes

Enter your own notes as applicable.

Costing/ Cost Centre

Enter or lookup the Project Code and Cost Centre.

Totals

Shows the credit and debit lines that make up the transfer transaction.

Workflow Forms on Transactions

Any WFF associated with the transaction will automatically display as a popup window for initial entry. Existing WFF can then be edited by clicking on the Workflow Form button. If no WFF is associated with the transaction, the window will not display.

WFF can be attached to:

  • The transaction Header - the WFF will display on initial tab off, and can also be opened by clicking the Workflow Form button.

  • Transaction Detail lines - the WFF will display on initial tab off to a new line, and can also be opened by clicking the Workflow Form button.

  • The transaction Save - the WFF will display when clicking Save.
