The Advanced Nominal Ledger system enables you to create your own chart of accounts using segmented or cost centre coding.

Chart of Accounts - Build

When you have entered your category values, you can start to build the chart of accounts.

  • Select the currency for the chart of accounts you wish to build first. e.g. EUR

  • Click the Add categories icon, you will be presented with the Add Category window for the first level of the hierarchy structure. e.g. First level = BRANCH, selected WOOD

  • Select a value and click OK to add it to the chart of accounts.

  • Select the category you have just added and click Add categories again.

  • Change the radio button on the Add Categories window to the next level of the hierarchy, select a value and click OK. e.g. Changed to DEPARTMENT, selected SHOP

  • Highlight the item you have just added, click Add categories again, change the radio button on the Add Categories window to the next level of the hierarchy, select a value and click OK. e.g. Changed to PRODUCT, selected OVHD

  • Repeat this process until you have selected all the levels in the hierarchy. Final selection COST - ELEC

  • The Chart of Accounts window should look as shown below.

  • Save the structure.

  • If you click to build at this point, the Nominal Ledger account 'WOOD-SHOP-OVHD-ELECEUR' is created. Continue to build up your chart of accounts in this way.

Tip: Because we added the Sort Key OVERHEAD, we can use this to filter the values that are displayed in the Add Categories window.

  • We will leave the focus on OVHD - Overheads and add all the COST accounts that relate to the Woodbridge Shop.

  • You can add multiple values from any category list by using the Shift or Ctrl keys.

  • Save the structure at any point.

Use the Copy and Paste feature to copy a structure from one category to another.

  • Once we have added all the overhead costs to the Shop, we can Copy the structure and Paste it to the Warehouse

  • Build the chart of accounts as you go, or when you consider the structure to be complete.

Chart ribbon

You can use the functions on the ribbon Task bar, or the right-click menu, to add Categories to the structure. When all Nominal Codes are complete, you should select the Build option to view a list of the new accounts to be created. If any Nominal Codes are incomplete, the system advises you of this by displaying a warning icon.

Save - This is only available when a change has been made. This saves the structure without creating any accounts.

Cancel - You are prompted to confirm that any changes will be lost.

Move Up - Only enabled where a single Category is selected and Currency selection is set to a specific currency. This moves the selected Category up one place within the current node; this can be repeated until the Category is the top item within the current node. This function is also available on the right-click menu.

Move Down - As Move Up, except this moves the selected Category down within the current node. This function is also available on the right-click menu.

Delete - Enabled where on or more Categories are selected and Currency is set to a specific currency. When an item is deleted, the cursor moves to the preceding item, i.e. the sibling immediately before the deleted Category or the parent Category. This function is also available on the right-click menu.

Expand All - Only enabled where one or more of the displayed nodes are in a collapsed state. This expands all nodes so that all Categories can be seen. This function is also available on the right-click menu.

Collapse All - As Expand All, except this collapses all nodes so that only the top level Categories can be seen.

Undo - Only enabled where a change has been made and not yet saved.

Copy - Only enabled where one or more Categories at the same level are selected. This copies the selected Categories and all associated lower level Categories. This function is also available on the right-click menu.

Paste - Only enabled where one or more Categories at the same level are selected and one or more Categories have been copied. This pastes the copied Categories into the selected nodes; any of the copied Categories that already exist in the selected node are ignored. This function is also available on the right-click menu.

Add to top - Only enabled where one or more Categories exist for the type that is defined as the top level Category that have not already been added to the structure.

Add - Only enabled where one or more top level Categories have been added into the structure and further Categories exist at a lower level that have not yet been added into the structure. You are able to select multiple Categories at the same level so that lower level Categories can be added to more than one parent at a time; if any Category already exists for the selected node, that Category is not duplicated. This function is also available on the right-click menu.

Build - Where no on-screen warnings exist, and one or more new accounts can be created, you are taken to the New Accounts to create screen. Where one or more warnings exist because the structure for any node is incomplete you are so advised. Where there are no warnings but no new accounts can be created you are so informed.

Detail - Only enabled where a single lowest level Category is selected, representing a single Nominal Code that has already created. This opens the Detail window for the selected account. This function is also available on the right-click menu.

Documents - This is only enabled where a single lowest level Category is selected, representing a single Nominal Code where that account has already been created in the database. See also Documents.

Find - This opens a dialog allowing you to locate a specific Category or range of Categories.
