Receipts

Depending on whether the Working Periods feature is enabled and on your Security Profile permissions, it may be possible for you to continue to post financial changes, for month end procedures, even after the posting period has been advanced; in this situation the Period becomes a drop-down and you can select the appropriate period.

The entry of Receipts is similar to the entry of an Invoice.

When you have entered all the Detail lines, Select OK button to save the transaction.

Options

Enter Receipt Now - When selected, any Settlement Discount is ignored so that VAT is correctly adjusted when allocating the transactions.

Header

Account - Entry of an Account Code will display the first five lines of the Customer Address in a scrolling window. More Account information can be displayed in this display box by scrolling down. Clicking on the lookup button displays a Record selection list window.

Currency - The default Currency Code and Exchange Rate for this Customer will be shown if you are using currency. If you want to use an alternative Rate or Currency, click on the drill button, and if the Customer is ‘Any Currency’, the available Rates will be displayed.

Detail

Each Receipt may have as many Detail lines as you want.

Analysis - Displays the Bank Analysis Code that has been flagged as Default in the Sales Analysis Record window. Only Bank and Discount Analysis Codes will be accepted for Receipts.

Costing - If you have Costing installed then entering Cost Codes works in a similar way to Analysis Codes.

Detail - Tab from the Detail field to a new line.

If the Receipt involves Discount, then simply analyse the Discount Value to a Discount Analysis Code on a separate Detail line.

If using Currency, and a Foreign currency Account has been entered:

  • Only Analysis Codes which match the currency symbol of the Account will be allowed, unless this Account has had the Any Currency box crossed.

  • Value will be replaced by Home and Currency fields.

Entry of either a Home or a Currency Value will calculate the other value (if the other value is zero), using the Currency Rate entered on the Header window.

Totals

Clicking on the Totals button on the Header window, or clicking anywhere on the Totals window (visible beneath the Detail window), will display a summary of all Detail Lines already entered.

Clicking on a particular Detail line on this window will display the Bank/Discount Analysis heading and Costing heading (if used) at the bottom of the window.

Double clicking on a particular Detail line will return to the Detail window for that Detail line, allowing it to be edited.

The Delete button will remove the currently highlighted line.

If using Currency, the Home and Currency values will be shown.

Workflow Forms on Transactions

Any WFF associated with the transaction will automatically display as a popup window for initial entry. Existing WFF can then be edited by clicking on the Workflow Form button. If no WFF is associated with the transaction, the window does not display.

WFF can be attached to:

  • The transaction Header - the WFF will display on initial tab off, and can also be opened by clicking the Workflow Form button.

  • A transaction Detail line - the WFF will display on initial tab off to a new line, and can also be opened by clicking the Workflow Form button.

  • The transaction Save - the WFF will display when clicking Save.
