The Query Types function opens the Query Types record and list where you are able to make a list of commonly used Query reasons for the purpose of analysing outstanding transactions by query type. You are able to mark each Query Type record as being for Sales and/or Purchase, and your selection is indicated in the list when you Save the record.

Code

This must be unique code in the Query Types list, and can be up to 10 alpha/number characters long.

Sales/Purchase option

As a minimum, each record must be selected for either Sales or Purchase, but can be selected for both if desired. When Query Types is opened from the Sales Ledger (Debtors) then any new records default to having Sales selected; similarly, when opened from the Purchase Ledger (Creditors) then new records default to having Purchase selected.

Text

Enter a meaningful explanation for the Query Type. Each line can be up to 55 characters in length, and the text area expands when you enter over 7 lines; the text box will hold up to 240 characters it total.

The list window displays all saved Query Type records, showing the details under column headings. You are able to re-sort the list by clicking on the column headings. There is no Search filter, however you can use the quick Find function found in the Window ribbon group and/or the Code lookup, for example if you enter 'A' in the Code field and then Find, the Query Types list is filtered to only Codes beginning with the letter A.

There is a default PIR Query Type which automatically flags transactions where the Invoice quantity (is) greater than delivered quantity, as appropriate. This special Query Type cannot be Edited or Deleted, and is not available for selection when disputing a Purchase transaction.

At the foot of the list window is a count of displayed records.
