Troubleshooting transaction corrections and reversals in Dimensions

How to correct, reverse, or adjust invoices and journal entries already posted to the ledger in Dimensions, including when to use credit notes vs. the Corrections module.

Once a transaction has been posted to the ledger in Dimensions, it cannot be deleted. Corrections are made by raising a reversing entry or a credit note, depending on the type of transaction.

Correcting a posted purchase invoice

Use a credit note to reverse a posted purchase invoice in full or in part.

  1. Go to Purchase Ledger > Credit Notes.

  2. Create a new credit note against the same supplier account.

  3. Enter the same nominal codes and values as the original invoice (or only the portion to be reversed).

  4. Post the credit note.

  5. Go to Purchase Ledger > Allocations > Allocate Credits and allocate the credit note against the original invoice.

Correcting a posted sales invoice

  1. Go to Sales Ledger > Credit Notes.

  2. Create a credit note against the same customer account.

  3. Enter the lines to be reversed.

  4. Post the credit note.

  5. Go to Sales Ledger > Allocations and allocate the credit note against the original invoice.

Correcting a posted nominal journal

To reverse a nominal journal, post an equal and opposite journal entry.

  1. Go to Nominal Ledger > Journals.

  2. Create a new journal with the same nominal codes but with the debit and credit amounts swapped.

  3. Use the same posting period as the original if it is still open, or post to the current period if the original period is closed.

  4. Add a reference note explaining the reversal (e.g. "Reversal of journal JNL-00123").

Using the Corrections module

The Corrections module is available for specific transaction types and allows you to flag and reprocess incorrectly posted transactions.

  1. Go to Utilities > Corrections.

  2. Select the transaction type (e.g. Purchase Invoice, Sales Invoice).

  3. Search for the transaction by reference or date.

  4. Select the transaction and choose the appropriate correction action.

  5. Confirm and process — the system will create the reversing entry automatically.

Note: The Corrections module requires the Corrections security permission. If you cannot access it, contact your system administrator.

Correcting a transaction in a closed period

If the period containing the original transaction is closed, you cannot post the reversing entry back to that period. You have two options:

  • Post the reversing entry to the current open period — this is the standard approach and does not affect the closed period's audit trail.

  • Re-open the closed period (Nominal Ledger > Options > Periods) if your organisation's policy permits — note this will affect period-end reporting and should be done carefully.

Cannot find the Corrections module or Credit Notes option

If these options are not visible in your menus, your Security Profile does not include the required permissions. Contact your system administrator and request access to Credit Note Entry and/or the Corrections module.
