Currency Utilities

These functions on the Data Utilities window are used with Data files upgraded from pre 3.50+ versions of Access Accounts, though some may be used at other times.

In the Currency Utilities menu options shown below, the 2nd base Currency is shown as EURO, and the Home is shown as £, but any other currencies could have been set up.

To use some of these functions you must have entered triangulated Currency Rates.

Backup

When you select these functions, you will have to acknowledge that you have a (proven) backup, and that you wish to continue. A message will tell you when the processing is finished.

Recalculate Stock 2nd Base (EUR) from Home (£) Prices

If a Data file is upgraded to the latest version and a 2nd base currency is set up, then the existing Stock records will not have any 2nd base values, as these are not automatically generated during the upgrade.

As it is usually impractical to manually enter the 2nd base value for each Stock item, this function automates the process.

Now, when you view the Buy and Sell Prices on the Stock record, you will see that the 2nd base values have been calculated for you.

Recalculate Price Record 2nd Base (EUR) from Home (£) Prices

This is similar to the function above, except that it processes Price records.

Stock Price Update Utility

Having upgraded your Data file, the existing Stock records with Currency Prices will be using the Direct Currency Rate. This function enables you to change this so that they use the triangulated rate instead.

At other times, this function enables you to recalculate either foreign or home Prices based on a selected exchange record.

For example, if you wish to update your Japanese Yen Prices based on the latest exchange rate, this function will automate the process.

When you have replied to the warning messages mentioned above, the Stock Price Update Utility window will be displayed:

You can choose whether to update Home Values or Currency Values, and then whether to update All Prices, or just Buying Prices or just Selling Prices. You can then select which Price lines are to be updated.

Then if you wish, you may select a range of Stock Codes (using the lookup buttons to display lists from which you can make a selection), and/or a range of Stock Sort Keys.

Finally, you MUST select a Currency, by clicking on the Symbol button, and choosing one from the list displayed. Only the records for the selected Currency will be updated. The default Rate for the selected currency will be shown, but you can select an alternative, using the Rate button.

If you wish to change the Stock records from Direct to Triangulated rates, select the appropriate Rate, e.g. EDEM. The rate for this will now be displayed.

Note: When you select a triangulated rate, the E£ rate will be displayed because the E-currency rate is fixed and cannot be changed.

When you have made your selections, click on OK.

You will be asked to confirm that you want to continue, and having done so, the processing will start.

At the end of the processing, you will be asked if you wish to create an Audit Report of the details that have been updated. We suggest that you do so. If you reply Yes to this, a default filename will be suggested, you may change this. When you again click on OK the Audit report will be written - this can be opened as a text file.

Exchange Rate Re-code Utility

Having upgraded your Data file, the existing Customers and Suppliers will be set to use the Direct Currency Rate. This function enables you to change the default Currency Rate to which the Customer or Supplier is linked.

For example, if your have set up 12 different monthly rate records for your US$ Customers, this function will allow all US$ Customers to have their default exchange rates changed each month.

Similarly, if you want all your German Customers to use new Triangulated rates as their default exchange rates, then this function will enable this change to be done easily.

When you have replied to the warning messages mentioned above, the Exchange Rate Re-code Utility window will be displayed:

You can choose whether to update Customers or Suppliers.

If you have selected Customers you can then select whether to update All Accounts, or just Customers or just Prospects.

Then if you wish, you may select a range of Account Codes (using the lookup buttons to display lists from which you can make a selection), and/or a range of Sort Keys, and/or a range of Country Codes.

You MUST select a Currency, by clicking on the Symbol button, and choosing one from the list displayed e.g. FR. Only the records for the selected Currency will be updated.

Finally you MUST select which rate to use, using the rate buttons.

To change the records from Direct to Triangulated rates, in the From rate select the Direct rate, e.g. FR, and in the To rate select the Triangulated rate e.g. EFFR.

Note: When you select a triangulated rate, the E£ rate will be displayed because the E-currency rate is fixed and cannot be changed.

When you have made your selections, click on OK.

You will be asked to confirm that you want to continue, and having done so, the processing will start.

At the end of the processing, you will be asked if you wish to create an Audit Report of the details that have been updated. We suggest that you do so. If you reply Yes to this, a default filename will be suggested, you may change this. When you again click on OK the Audit report will be written - this can be opened as a text file.

When you now go to your Customer and Supplier records, you will see that they now have the new Triangulated rate e.g. EFFR instead of the Direct rate.

Calculate 2nd Base Transaction Values

Enables you to calculate the 2nd base Values for Outstanding Transactions.

You can select by a range of Account Codes (you can select from a list by using the lookup button), and/or Sort keys, and by Period and Year range.

You must enter the 2nd base Rate to be used, or you can select from a list by using the lookup button.

Customer/Supplier Currency Change Utility

This enables you to change the default currency of Customers and Suppliers through a bulk update. You can search on the Account Code and the Sort Key. The search criteria include a range facility.

The utility will only work for those Customers and Suppliers that do not have any batched transactions.

Once this utility has been run it will not be possible to Duplicate any orders which use the old currency, even if the Customer or Supplier record is flagged as "Any Currency".

This will be prevented by a check on the Customer or Suppliers default currency, comparing it to the currency on the header of the Order that is being duplicated.

If the currencies do not match, the currency for the customer or supplier is EUR and the currency on the header is one of a restricted list then the order cannot be duplicated.

The restricted list is:

  • Austrian Schilling (ATS)

  • Belgian Franc (BEF)

  • Finnish Markka (FIM)

  • French Franc (FRF)

  • German Mark (DEM)

  • Greek Drachma (GRD)

  • Irish Punt (IEP)

  • Italian Lira (ITL)

  • Luxembourg Franc (LUF)

  • Dutch Guilder (NLG)

  • Portugese Escudo (PTE)

  • Spanish Peseta (ESP)

If an "Any Currency" Customer or Supplier wants to Duplicate an Order where the currency of that order is NOT on the restricted list, then they will be able to do this.

Customer/Supplier Change to EU State Utility

Following the change of a Country record from Non-EU State to EU State, run this utility to update all Customer, Supplier and Prospect records.

The Customer/Supplier Change to EU State Utility window enables you to:

  • Update Customers (Customers or Prospects or both) or Suppliers records.

  • Select a range of Account Codes or Sort Keys.

  • Select a Country to Change. The Country record must already have been converted to an EU State.
