CRM Reports

The Reports menu contains a list of CRM reports. When a report is selected, an Output window will open for that report.

In its simplest version, the Output window will enable you to select the document output method to be used for the report: Screen; Printer; File.

Other options on the Output window toolbar enable you to:

  • Select a printer

  • Search

  • Sort and Sub Total

Some reports have a Show Report with:- section that enables you to customise the report by selecting to include or exclude certain details or to print the report in a certain way. For example: Show Report with:- Financial Info; Full Details or Notes; New Page For Each Record.

You should make use of these options so that the report you produce contains the information you require and you may change the title of the report so that it describes the report you have produced.

Reports

Prospect List - a list of all the Prospect records.

You should use the Search facility to limit the report to the required selection of Prospects.

There is a good selection of Show Report with:- options for this report, including Financial Info.; Full Details; Terms etc. Please refer to the description of the Customer/Supplier list for full details.

Sort and Subtotal options are available.

Contact List - this report will include all the CRM contacts you have entered.

The contact list can be configured to print in three formats:

Standard or record ‘card’ format.

Wide (landscape) This displays fields for each record adjacent to each other across the page.

Labels This will create a report that will print on to a sheet of labels.

The configuration window is opened from the OK tick, but before you proceed to the configuration window you should:

Select the print output: screen; printer or file.

Use the Simple Search option to filter the records that will be retrieved for the report. It is very important that you do this, as running the report without filtering out the records that you do not require might result in a large and unnecessary report being produced.

Set the Sort and Subtotal options for the list.

When you have made your selections and entered the search criteria you require, click OK to proceed.

Customer List - a list of all the Customer records.

You should use the Search facility to limit the report to the required selection of Customers.

There is a good selection of Show Report with:- options for this report, including Financial Info.; Full Details; Terms etc. Please refer to the description of the Customer/Supplier list for full details.

Sort and Subtotal options are available.

My Records - a list of all Prospect and Customer records assigned to the current user. The list will be pre-filtered by the User Id of the current user and this cannot be changed.

Campaign Record List - a list of active Campaign records.

If you require a list of inactive campaigns: click on the Search function and untick the Active tick box.

The report will list each campaign record (active or inactive as selected).

Each line of the report will include the Campaign Code; Description; Start Date; Pipeline Value; Committed Sales Value; Actual Sales Value; Project code; Stage with a count against .

The count is the number of Prospects or Customers that are currently at that stage of the campaign.

You can use the Search facility to limit the report to the required selection of campaigns and Sort options are available.

This report should be printed in landscape format.

Campaigns - this report will list the details of each active Campaign, by stage.

Campaign details include the: Campaign Code; Description; Start Date; Pipeline Value; Project code and Stage.

There will be a single report line for each stage of each campaign that has a non-zero count, i.e. there are some Prospect/Customer records currently assigned to the campaign stage.

For each stage of each campaign, the Prospects/Customers currently assigned to that stage will be listed as a sub report.

The report can be switched to inactive campaigns from the search window.

You can search for campaigns by Campaign Code, Description, Start Date, Pipeline Value and Project code. The report can also be sorted by these attributes.

This report should be printed in landscape format.

Campaign History Report - this report can be printed from the Campaign History window, which can be opened from the CRM Data Entry window.

The history of all changes to the campaigns assigned to a Prospect or Customer record can be viewed in the Campaign History window and printed or exported to MS Excel.

Pipeline Report - this report will list the details of entries in your Pipeline.

Each pipeline entry will be shown in detail.

The report columns include:

In the header: Prospect/Customer Code; Estimate/Order Number; Campaign Code; Entered by; Sort Key; User Sort Keys 1 to 3; Close Date; Total Value; Probability and Pipeline Value (Total Value multiplied by Probability).

In the detail: Line number; Detail; Pipeline Category; Line Value; Line Probability, Line Value (Line Value multiplied by Probability).

You can use the Search facility to limit the report to the required selection of pipeline categories.

Sort and Subtotal options are available.

Tasks - use this report to print a list of the tasks associated with your Prospect and Customer records.

You can use the Search facility to limit the report to the required selection of task types.

Sort options are available.

The report columns include:

Task Type; Task Action Date; Action by User; Status; Entered by; Date Created; Prospect/Customer Code; Contact Name and number of Days Outstanding.

The number of Days Outstanding is the number of days that are left until the Task Action Date is reached. This is calculated as the Task Action Date less today’s date and is only shown if greater than zero.

Contact List

Opened from Contact List - click on Simple Search.

You should enter search criteria to limit the contents of the Contact List report. It is very important that you do this, as running the report without filtering out the records that you do not require might result in a large and unnecessary report being produced.

  • The Prospects menu enables you to select either Prospects or Customers for the report.

  • You can enter criteria to limit the Prospect/Customer codes to a range of values.

  • Value ranges can also be entered for Contact Names, Post Codes and Assignee Codes.

  • The Range menu enables you to change to search for single values rather than a range of values. If searching using a range, you should enter a value in both range fields otherwise the search will return all records from the first value to the end of the records.

  • The Entered By and Allocated User fields provide drop-down lists of User IDs from which you can select.

  • You can also search on the date the contact record was created or last changed if either of these are known.

  • The tick boxes at the foot of the window can be used to search for records with particular characteristics.

    • If you want to produce a list of contacts who are indicated as being Budget Holders, i.e. they have the Budget Holder tick box ticked on their record, then you should remove the tick from Not Budget Holder and ensure Budget Holder is ticked.

    • Leaving both boxes of any pair ticked means that the characteristic will be ignored, i.e. records with the box both ticked or unticked will be allowed.

  • Log Build will add a dated entry in the Notes field for all the Contacts that are included in the build list for the report.

  • If you click on Multiple Post codes, the Postcode entry box is removed, and the Begins menu replaced by a button. Clicking on this will display the Post codes window. From this window, you can select multiple entries. The Post codes window is described in more detail below.

  • Ticking Show Search Text will print the search criteria you have used at the end of the report for reference purposes, unless you select to print labels.

Before you list the selected Contacts, you can click on the Count button, to see how many Contacts satisfy your selection criteria.

Having entered your selection criteria, click OK to display the CRM Contacts List window.

Clear will clear the window and reset the tick boxes.

Click on this function to Save the search you have created and on this function Select Search, to open and re-use a search you saved earlier. Please refer to Help topics Save Search and Select Search for more details.

Post codes

When the Multiple Post codes option is selected, the Postcode entry box is removed and the Begins menu replaced by a button.

Clicking on this button will open the Post codes window so that you can select multiple postcode regions.

Just enter the postcode areas you require by typing in the initial characters of each area. Press the tab key to move to an empty line to add additional areas.

To remove a line - highlight the line and click Delete.

To remove all lines and close the window - click Cancel.

The Begins menu can be changed to Range or Equals.

You can leave the window open whilst you run the report, or close it using close button in the top right-hand corner of the window.

Contact List

The Contact List can be opened from the Reports menu.

This report will include all the CRM contacts you have entered.

There is no search facility but sort and subtotal options are available.

There is a long list of contact details that can be included and the report can be formatted in three different ways including configuration as labels.

Selectable fields

The selected (ticked) fields will be included in the report. The Standard report is the only format for which all the fields are available.

De-selecting (un-ticking) fields will increase the number of records that can fit on a page.

The switch all button will toggle the settings of all the tick boxes: all to selected or all to de-selected.

A default set of fields will be pre-selected; they will vary depending on which report format is selected.

For the Standard report, all fields are selected.

For the Wide report, the selection is as shown in this image; you can de-select fields but you cannot select additional fields.

If Labels are selected, the selection is: Contact; Prospects/Customers; Address and the 4 address details below; Next Action; Status; Salesman and Source. You can de-select fields but you cannot select additional fields.

Report format

Three report formats are available.

Standard The fields for each record are displayed in groups down the page, each record displayed beneath the previous one . This could be described as a record ‘card’ format.

Wide (landscape) This displays fields for each record adjacent to each other across the page.

The Page Setup for the printer must be adjusted to landscape.

If all available fields are selected, it is recommended that you scale to 70%. In this case 8 or 9 records will be displayed on an A4 page.

Labels This will create a report that will print on to a sheet of labels.

The layout can be changed using the configuration window opened from the Labels function.

If you have selected Labels, clicking on the Labels function displays the Configuration window, where you can set up the page layout for your labels.

The Repeat Factor is the number of labels to be printed for each Prospect Contact.

To return to the default values, click on Reset.

Export function

This enables you to export the data to a file.

An Output window will open, requesting you to enter the filename and output format.

  • You can export both Contacts and Prospects. To export just one of these, leave the filename for the other blank.

  • The directory in which the files will be created is displayed at the foot of the window.

  • Use the Browse button to change the directory by locating an alternative.

  • The output format can be selected from a list, this includes: Dif; Sylk; dBase; Lotus; Delimited (commas); Delimited (tabs); One field per line.

  • There is an additional option to Enclose Text in Quotation Marks; this is a requirement for some file formats.

Click Print to run the report.
