CRM - Options
To open CRM Options, navigate to Selling > CRM Control and click Options on the CRM ribbon.
From this window you can select the search criteria fields that are to be available on each of the search tabs and also configure columns of the display grid.
All Users who log into the same instance of the software will be using the same settings and will be able to change and update these; in this situation, you should consider setting up the search tabs with a standard set of fields and disabling the ability to change them. If Users are logging into separate, local instances of the software they can be permitted to set up the search tabs with their own preferred set of fields and amend them as they require.
Only Users with the correct permissions set in their Security Profile can access the Options window to make changes.
The Options window has five tab cards: four of them enable you to set up the Search Criteria and Column Headings for the search tabs on the CRM Control window, the fifth allows you to set General options that enable you to customize the way in which the record list and the CRM Data Entry windows are displayed.

Select the tab card you wish to configure.
Search Criteria - These are the search criteria fields that are available to add to your selected tab. Initially these are in alphabetic order but can be re-ordered using the arrow buttons at the right-hand pane margin. Tick the adjacent checkbox alongside the field to include that field on the CRM Control tab.
Please note: The "Active" field refers to the Active flag on a Contact record and not the Inactive record flag. The option to include Inactive records is found on the General tab.
Column Headings - These are the column heading that are available to add to your selected tab. Initially these are in alphabetic order, but can be re-ordered by using the arrow buttons at the right-hand pane margin. Tick the checkbox adjacent to the heading you require to add that heading to the selected CRM Control tab.
General tab
From the Options window, there are some general options you can set to customize the CRM Control window and the CRM Data Entry window.
Select CRM Control and click Options
Select the General tab.
One Line Per Company - When a successful search is run from the My Records tab or from the Search tab of the CRM Control window, the records that match the search criteria will be displayed in the grid as a row for each Contact record found. If you tick the One Line Per Company option, all the tabs will display only one line for each Customer/Prospect record found.
This option does not apply to the Pipeline tab, which has one line for each pipeline record found.
For the Tasks tab this will be one line for each Task record found.
Include Inactive Company Records - You can select to include the existing inactive Company records by clicking this option. The Company records can be marked as Inactive in the Info window on the CRM Data Entry window.
Do not show excluded Contacts - Contact records that are not currently in use can be excluded from the list of contacts that are displayed by ticking the Exclude Contact From List option on the contact record. The tick box is found below the contact details fields on the left hand side of the contact record. Whenever this option is selected, all those contacts who have been flagged for exclusion will not be listed. This option is available because contact records cannot be deleted, although they can be reused. If you wish to keep the details of a contact in your records, you should not reuse the record, you should use the Exclude options instead.
Entry field colours - You can select the background colours for the CRM Data Entry window. Selecting a different colour to display Prospects and Customers will make it easy to identify the type of record that you have selected to work with. To change the colour: click on a colour button to open Colour Selection palette, Click the colour you wish to select. Pressing Reset Colours will set the colours back to default settings.
The colour selected for Prospect will be used for the Prospect level fields in the top half of the window. The default colour is blue.
The colour selected for Contact will be used for the Contact level fields in the lower half of the window. The default colour is cream.
The colour selected for Customer will be used for the Customer level fields in the top half of the window. The default colour is transparent.
Data Entry Style - The CRM data entry window is a big window with a lot of fields. If you find it easier to work with a simpler display, you can select to use a different entry style. The default layout is Medium, but you can select Simple, Complex or Full. As you open the CRM data entry window, the system will check the entry style you have selected and load the appropriate fields into the window. The layouts are stored in special INF files located in the Extras folder in the same directory location as your Accounts software. See CRM Data Entry Style for more details.
