CRM - Convert to Customer

You can use Prospect records to record information about prospective Customers but once a Prospect has agreed to a contract with you, you must convert them to a Customer record before you can post invoices to their account.

Note: The conversion process cannot be reversed, except by restoring from back-up.

The Convert Prospect to Customer function on the CRM Control toolbar enables you to convert any Prospect to a Customer.

The hot key for this option is Ctrl + Shift +V.

To convert a Prospect to a Customer:

  • On the CRM Control list window, locate the Prospect record that you wish to convert.

  • Select the record by highlighting it and click the function on the toolbar. You will be asked to confirm that you wish to continue.

  • The Convert Prospect To Customer window opens to enable you to change the existing Code before the record is converted.

If you are following a particular style for Customer and Prospect Codes then its advisable to change the Code to match the Customer standards.

  • Click OK to convert the record.

If the Prospect Code is changed, any transactions (such as Estimates) will be updated.

The Prospect record will be converted and saved as a Customer record.

Customer Code

The Code for the converted Customer record will depend on following System settings for the Sales Ledger:

  • Automatic customer code numbers

  • Automatic prospect code numbers

  • Same sequence as customers

These option are found on the Sales Ledger Options window.

On conversion:

  • If the first option is not selected, the Customer Code will be the same as the Prospect Code and you will be able to change the code.

  • If the first option is selected, then a Customer Code will be generated and cannot be changed.

  • The automatic Prospect code only comes into effect if the 'Same sequence as customers' option is also selected.
