(Process Batch) Orders / Credit Notes
Having first selected the Batch Type, defined your search criteria, and selected an order for processing and clicked Detail on the Process Batch list window, a window opens listing all of the Detail lines for that Order.
This window enables part processing of Orders, where you can dictate how many items will be Invoiced and/or Delivered for each line.
This window is a very fast means of viewing the contents of a selected Order from the Batch and is the means by which you can manually part-process an Order.
Clicking OK on the Order Detail window opens the processing options dialog.
Dealing with Orders and Credit Notes uses the same process, it is only the sign (CR/ DR) of the transaction that is different.

Note: These will vary according to the selected Batch type.
Close Order
Available when Orders or Invoice Orders have been selected. Will complete all Detail lines for the Order so that the ordered quantity matches the Invoiced and Delivered quantities, and then closes the Order.
This can only be done if all the quantities To Deliver and To Invoice are the same.
Close Line
Available when Orders has been selected. This completes the currently selected line of the Order, the line is therefore finished and cannot be recovered.
This is only possible if the Delivered and Invoiced quantity are the same.
The Order Quantity is reduced to match the Delivered Quantity.
Linked items are not treated as linked.
The line remains on the Detail window but is flagged with a 'C'.
If Committed Sales were updated in the Costing module, then these values will be reduced accordingly.
If a line is completed, then it is removed from the print sequence. The print sequence is adjusted accordingly.
Create Line for O/S Orders
Available when Orders has been selected. Completes the line and adds a new line to the Order containing the un-completed Quantity.
For example 10 items were ordered and 8 have been Delivered and Invoiced, therefore the remaining 2 will be shipped at a later date and at a different price. So this function completes this line and then adds a new line to the end of the Order with the original details and a quantity of 2, but since this is a new line, all the details can now be changed.
In this scenario, Linked items are not treated as linked, e.g. if a top level item is added, the 'bundled' items are not also added.
This is only possible if the Delivered and Invoiced quantity are the same.
If the Order line includes Sub Analysis or Serial Number items, these fields on the new line are left blank, all other information remains the same as on the original line.
The Selling Price saved into the new line will be the same as the Selling Price that was in the original line.
Whatever Price was being used on the original line, will be set in the new line, even if quantity break pricing and discounting was being used. You can change the pricing later if you wish.
When the new line is created, if the Order involves currency, then the currency values will be calculated for the new quantity at the old price and exchange rate. Rounding differences and exchange rate differences are calculated when an Invoice is posted or allocated. If you change the currency net or home net before the line is invoiced, then the standard rounding differences rules apply.
The Committed Sales values for the completed line are updated, and the details are copied onto the new line.
Select Sub Analysis
This function is only available when a quantity to deliver is entered on a detail line where the Sub Analysis has been left empty. Clicking on the function will open the Sub Analysis window to enable you to select the required value. You may select multiple Sub Analysis items; in this case you will be reminded that separate detail lines will be created for each Sub Analysis selected.
For each line item, the System lists the original Order Quantity and the Quantity Outstanding to be Delivered and/or to be Invoiced.
Further details for the selected line item are displayed at the bottom of the list, and there is the facility to enter the actual Quantity you wish To Deliver or To Invoice.

Delete
Will delete a line item from the Order, providing no part of the line has been Delivered or Invoiced. Deleting a Detail line from the Order will cause the Allocated Stock Quantities and the Order Value to be adjusted.

Opens the Process Batch Options window

Will set the Quantity, for all line items, to the outstanding quantity.
Double clicking to select a line item sets the Quantity To Deliver and Quantity To Invoice quantities to match the outstanding quantities for that line item.
You can manually enter a Quantity in these fields, but you cannot enter a Quantity that exceeds the Outstanding Quantity under any circumstances. If you use automatic methods of entering a Quantity (clicking a button or double clicking a line) the System will not allow you to Deliver more Stock than is available.

Qty to Deliver / Qty to Invoice
Care should be taken when Part Processing Orders.
You can use these fields to enter less than the full quantity of the order.
You cannot enter a Quantity that exceeds the Outstanding Quantity under any circumstances.
If you use automatic methods of entering a Quantity (clicking a button or double clicking a line) the System will not allow you to Deliver/Invoice more Stock than is available.
If, when the Order was originally entered, the option Do not part deliver was selected and an attempt is made to part deliver, a warning message is displayed but you will be able to override this and continue.
For example. One line of an order is selected for delivery and invoicing and the invoice is printed but then not updated. At a later stage, another line is selected to be delivered and invoiced. This line will be given the same invoice number as the first line because the processing of the first line was not completed by updating the invoice. It is recommended that, once an invoice has been printed, invoices are always updated to prevent printed invoices containing different order lines having the same invoice number.
Totals pane
The bottom of the window shows the total value that will be invoiced for all selected Detail lines together.
Serial Numbered Stock
If a Sales Order is processed with the Allow Serial No. field to be left empty option selected, it will be sent to the batch awaiting the entry of the Serial Numbers.
You can add the Serial Number from the SOP Batch Detail window from both the Orders batch and the Deliver Orders batch. The Credit Note batch also includes this feature.
Open the Serial Number Selection for Delivery window from the S/No function, this function is found in the lower left part of the window.

Completing the Sub Analysis Code from the SOP Batch Detail window
Missing Sub Analysis codes can be added to Order lines from the SOP Batch Detail window.
This is only possible for Users who, within their Security Profile, have the Global option Only Deliver Allocated Stock switched off (unticked). Users who can only deliver allocated stock can add the Sub Analysis codes from the Stock Allocations window.
It is also possible to select multiple Sub Analysis values using this method. If multiple values are selected, separate detail lines will be created for each.
The Sub Analysis function on the SOP Batch Detail window becomes enabled when a quantity to deliver is entered on a detail line where the Sub Analysis has been left empty.
Clicking the function will open two windows, the Sub Analysis window which will enable you to select the required Sub Analysis and a list window which will be populated with the Sub Analysis values as they are selected.
The Sub Analysis window
Select the required Sub Analysis code with a double click.
A pop-up Quantity window will be displayed, enter the quantity for the selected Sub Analysis.
Click OK, the quantity will be listed in the Selected Sub Analysis Codes window.
Repeat this process until the full quantity, as entered as the quantity to deliver on the SOP Batch Detail window, has been reached.
If these quantities do not match when you click OK on the Selected Sub Analysis Codes window, you will be prompted to select additional items or update the delivery quantity to match the quantity selected.
The Selected Sub Analysis Codes window
This window will contain a list of the selected Sub Analysis codes and the quantities for each.
You cannot select a Sub Analysis more than once. If you wish to increase the quantity of a Sub Analysis that is already in the list, you must delete the existing line and re-select that Sub Analysis entering the increased quantity.
The Total at the foot of the window shows how many have been selected against the quantity to deliver as entered on the detail line.
Clear will clear all the entries from the list.
Delete will clear the selected line from the list.
Add will open the Sub Analysis window.
Click OK when the list is complete.
If the list contains multiple Sub Analysis records, a message will be displayed to remind you that separate detail lines will be created for each. If you do not wish to continue, click No to return to the Selected Sub Analysis Codes window to amend your selection.
If the total quantity selected does not match the quantity to deliver, as entered on the detail line, the delivery quantity will be amended to match. You will be prompted to accept this change, click No to return to the Selected Sub Analysis Codes window to amend your selection.
Accepting these messages by clicking Yes will close the Sub Analysis windows and return to the Order Detail window. The existing detail line may have been split into separate detail lines if multiple Sub Analysis records were chosen or a reduced quantity was selected.
Cancelling from the Batch Detail window at this stage will not remove the new detail lines that have been added. If they are not required you should edit the order and delete them.
Changing the Sub Analysis Code from the SOP Batch Detail window
In the same way, it is possible to change the Sub Analysis on detail lines from the SOP Batch Detail window.
The Sub Analysis function on the SOP Batch Detail window becomes enabled when a quantity to deliver is entered on a detail line where the Sub Analysis has already been selected.
A message will appear prompting you to confirm that you wish to change the Sub Analysis for the detail line.
Clicking Yes will open the Sub Analysis window and the Selected Sub Analysis Codes window enabling you to make the selection of Sub Analysis records as if you were selecting them for the first time.
Clicking No will return you to the Batch Detail window.
If the line has not been delivered, selecting a different Sub Analysis will over-write the original selection.
If the line has not been delivered, selecting a different Sub Analysis will over-write the original selection.
If the line has been partly delivered, the delivered quantity will remain against the original line and the ordered quantity for that line will be adjusted. Separate detail lines will be created for further Sub Analysis selections.
If the original line has been invoiced and the invoiced quantity is greater than the delivered quantity, then you will be allowed to re-select the Sub Analysis for the quantity that has not yet been invoiced.
For example: Ordered quantity is 10; Delivered quantity is 3; Invoiced quantity is 4. You will be able to re-select the Sub Analysis for a quantity of 6 (10 ordered less 4 invoiced).
Serial Number Stock items with Sub Analysis records
From the SOP Batch Detail window, missing Sub Analysis codes can be added to Order lines for Stock items that are also Serial Numbered and where the Serial Number is empty.
Selecting the Sub Analysis first
When the Sub Analysis records have been added to the order, using the method described above, and the detail line has been split to accommodate multiple selections, the Serial Number can be added from the S/No function in the lower left part of the Batch Detail window.
The Serial numbers listed in the Serial Number Selection window will be those for the selected Sub Analysis only.

Selecting the Serial Number first
If you choose to select the Serial Numbers before the Sub Analysis, you will be able to select Serial Numbers for multiple Sub Analysis records.
Multiple detail lines will be created to accommodate the mixture of Sub Analysis records.
If the quantity of Serial Numbers selected is less than the quantity remaining to be delivered, multiple detail lines will be created to provide a separate line for the part of the order that remains undelivered and empty of Serial Numbers.
Delivery Note
If detail lines have been split to accommodate multiple Sub Analysis selections, the Delivery Note may show the same Sub Analysis on more than one detail line.
In System Control there are two options that enable the Delivery Note lines to be sub-totalled by Sub Analysis or by Stock Code. Selecting either of these options will group the Delivery Note lines containing the same Sub Analysis or Stock Code together into a single line.
