Purchase Control - Authorising Orders

All Orders requiring authorisation will be batched.

Authorisation can occur in the following batches:

  • Orders

  • Credit Notes.

To authorise the orders:

Open the batch window in the usual way. The Orders awaiting authorisation can be identified by the text displayed alongside the Authorisation Required label in the lower part of the window. The text might read:

  • Yes - Nominal budget for Period / Year exceeded

  • Yes - Nominal budget for Period exceeded (or year as appropriate)

  • Yes - Both Nominal and User budget for period exceeded.

Highlight the Orders to be authorised and click on the Authorise function.

Editing

Once an Order has been authorised it cannot be edited. Instead of editing the Order you will have to Close it and create a new Order.

How to Close an Order and create a duplicate Order:

Select the Order in the POP Batched Orders window and click on the Detail option.

On the following window, use Close Order option to close the Order in it's current state.

Open the Sales Order Header window from Purchase Orders and select the Supplier.

Use the button alongside the Supplier Account Code to open the Orders drill down window.

Use the Orders menu to display the orders and find the closed Order.

Then click on the Orders menu and select the Duplicate function to recreate it as a new Order.

The new order will not be authorised and so can be edited in the normal way.

Notes

The authorisation of Orders is not part of Purchase Control, but is a separate feature.
