Set up Update Stock to Nominal

Stock Options

The option Update Stock to Nominal must be selected in the System Stock Options. Security profile options for the control of this functionality will then be available.

You must use Weighted Average, Latest, FIFO or Fixed Weighted as your Profit Cost method; this selection is made in System Stock Options.

The option Update Stock to Nominal is found on the Transactions tab card.

If selected:

  • Stock Type Analysis records will be used for stock transactions in addition to the normal Sales and Purchase Type Analysis records.

  • You must set the default Stock Type Analysis records before saving the Stock Options window.

  • Lookup will display a list of existing Analysis records

  • Select the required record or insert a new record

  • You must use Weighted Average, Latest, FIFO or Fixed Weighted as your Profit Cost method. If your Profit Cost method does not match one of these, it will be set to FIFO. The Profit Cost method is found on the Records tab card.

  • On the Assemblies tab card, select a default Nominal Account for the Non Stock Costs of Assemblies.

  • Also on the Assemblies tab card, you will find that the movements option has been set to Create Movements and has been disabled. This is correct, assembly movements are part of the Update Stock to Nominal feature.

  • Security profile options for the control of this functionality will be available in Security Profiles.

Security Profiles

Amend Stock Profit Cost

This security profile option can be disabled to stop users from changing the profit cost.

It is found in Orders and Credit Notes.

Allow Stock Analysis to be left empty

This is a processing option for SOP and POP. It is found in Orders and Credit Notes.

Selecting this option as a default will allow Users with this profile to create batched SOP and POP transactions without the selection of a Stock Analysis code.

The transactions will not be processed from the batch until the Stock Analysis is entered.

To ensure that the Stock Analysis is not left empty, leave the default unticked and disable the option.

Do not update Nominal

This is a processing option for Stock Movements and is found in Movements, Stock take and Assemblies - Movements.

Selecting this option as a default will allow Users with this profile to create Stock Movements without Updating the Nominal.

To ensure Users always use the Update Stock to Nominal function, leave the default unticked and disable the option.

The Do not update Nominal option does not affect outwards movements. Where a Landed Cost Adjustment is making a correction to an overstatement of the Landed Costs, you will have to manually enter an adjustment to the Nominal Ledger.

Currency

This feature is fully multi currency and default Nominal Ledger accounts for Stock updates can be found on the Currency records.

Trading Currencies – Currency Defaults

Clicking the Currency Defaults on the Trading Currencies window displays a window showing the default Stock, Sales and Purchase Analysis Codes and Nominal Accounts for the currently selected currency.

Where a Currency other than Home has been used, and there has been a price and/or Exchange rate change, then the whole currency difference is posted as the currency equivalent. See Using Update Stock to Nominal for an example

Purchase Ledger - Analysis records

The analysis records for the Purchase Ledger, that are used when purchasing Stock, should be changed to Debit the Goods Received Not Invoiced (GRNI) account in the Balance Sheet rather than the Purchasing accounts in the Profit and Loss Account.

For example:

Stock Records

On the Stock Record there is an Analysis tab card on which analysis codes for POP transactions, SOP transactions and Stock Movements are stored.

If left empty, the default Analysis codes from the System Stock Options will be used (see top of topic). This is the simplest setting i.e. all Stock types update the Nominal in the same way.

All Stock records can be given specific Stock Analysis codes so that each has its own Nominal Update rules.

For Sub Analysis type stock items, additional codes can be entered on the Sub Analysis record Analysis tab card. The default Analysis Codes from the Sub Analysis record will take precedence over the Stock record default analysis codes.

Order of Precedence

The Stock type Analysis codes follow the same order of precedence for SOP, POP and Stock Movements. This order is Sub Analysis, Stock Record, Stock Options in System Control.
