Invoice the Head Office

How to Invoice the Head Office for an order placed by a Sub Office

Here, we will create a Sales Order and deliver it to the Order Customer, but we will send the Invoice to another Customer: the Head Office of the Order Customer. We will refer to the Order Customer as the Sub Office.

Step 1

The Sales Ledger Customer account of the Customer to be invoiced must be flagged as the Head Office.

  • Locate the Head Office Customer Record, click Edit.

  • Open the Customer Record - Info window from the function icon.

  • Select Head Office, close the Info window and Save the record.

  • Customers with Head Office status are clearly identified on the Customer record window.

Step 2

The Sales Ledger Customer account of the Customer who will be placing the Order, the Sub Office, must be associated with the Head Office Customer account.

  • Locate the Order Customer Record, click Edit.

  • Open the Customer Record - Info window from the function icon.

  • Enter, or select, the account code of the Head Office Customer.

  • Typically, we will invoice the Head Office Customer with Orders placed by this Customer, so we will tick the option Use Head Office default Invoice Address.

  • Close the Info window and Save the record.

Step 3

Enter a Sales Order using the Sub Office as the ordering account. The delivery address of the Sub Office account will be displayed in the Deliver to address field. The invoice address of the Head Office account will be displayed in the Invoice to address field. The account details of the Head Office Customer will be shown above the address field.

Remember, the VAT Status on all delivery addresses must match if the orders are to be consolidated.

Step 4

The delivery and invoicing of the Order can be done as one smooth process or the Order can be batched. We will batch the Order and process the delivery from Deliver Orders.

Step 5

Invoice the order.

On the Sales Order Batch Selection window, enter or select the Head Office Customer Code in the Invoice Account field and click on Display to retrieve the batched orders for this Customer.

Step 6

Activate the order by changing the Posting Status to YES. This can be achieved by double clicking on the line or using the switch buttons. Click OK to print and update the Invoice.
