Template Journals

A Recurring Journal can now be flagged as being a Template. This means that once the journal has completed its posting run, the journal can be duplicated rather than needing to be re-keyed.

You are able to see Template Journals in the Post Batch list and are also able to search by type (i.e. Accruals, Payroll, etc).

Use of Journal Types is not compulsory, and does not require special Security Profile privileges.

Summary of changes

  • A new Journal Types option has been added to Financials Ribbon where you can define your list of Journal Types.

  • When you then select to create a new Journal, you are able to lookup an existing Journal Type or create a new one on the fly.

  • Where Recurring Journal is selected, you can then tick the checkbox on the Journal Header to use the Journal as a Template.

  • Next, set your recurring options, enter detail lines, and save the journal. The system creates a batched recurring journal of the Journal Type.

  • You can now go to the Recurring Journal Batch and search to retrieve journals of a particular type by using the search options to Journal Batch Selection and Recurring Journal Batch Selection. If no Journal Type is specified then all Journals are returned, regardless of Type.

  • You can post the recurring journal the required number of times, and the system then updates the journal as complete.

  • Return to the Recurring Journal Batch and select to retrieve Template Journals by using the Template Journals only search option. The system returns just the Template Journals, and you are able to select to Duplicate with the details copied from the source transaction.
