Costing Introduction

Costing Introduction

The Costing Module provides a flexible analysis system that gives you the ability to control all manner of Projects. Each of these Projects has a main record and any number of sub-analysis categories called by default Cost Centres. Different formats of Project can be handled within the same system and results can be consolidated or reported individually.

Costing terms, such as Project and Cost Centre, can be changed in the Definable field labels table, to terms that are more familiar to you such as Job or Contract. The Definable field labels table can be viewed by selecting Main Entry.

Skeleton Projects can be stored and duplicated so that setting up a new Project record is easy and quick.

A Project may have a Status of Estimate, Active or Re-Opened and will eventually be Suspended, Cancelled or Completed. Project Status can be changed as often as you choose.

Estimates (Budgets) are calculated from the entry of Transactions, they are therefore fully auditable. Budget elements can be ‘original’ or ‘revised’.

Powerful reporting compares Budgets and Revised Budgets to Actual figures drawn from every other module. You can compare:

  • Budget Sales to Actual Sales

  • Budget Costs to Actual Costs

  • Budget Costs to Budget Sales

  • Actual Costs to Actual Sales

  • Cash Received to Cash Expended

  • Actual Budgets or Revised Budgets

The system stores a Price list of Resources (staff and machines etc.) and facilitates rapid entry and analysis of Time Sheets, and can track lost Time Sheet hours.

All Cost Transactions (Time Sheets, Purchase Invoices (and Sales Invoices), Nominal Journals etc.), represent your Work-in-Progress.

The Cost details for a Project can be reviewed, and selected for Invoicing via the SOP module. Invoices raised in this way will reduce your Work-in-Progress.
